September 9th Meeting (Haunted Trail Planning)
- Sue started off reminding everybody that re-enrollment forms and records are due October 30th.
- For all first year members, Cory will do a clinic explaining records on September 17th.
- Members were split up into scenes for the Haunted Trail. We have seven scenes in total, including one that the Boy
Scouts will run.
- The Haunted Trail will run two nights, the weekend before Halloween.
- Members need to give full commitment to both nights, their own scene, and helping to run admissions, the hay ride, and
games.
July 22nd Meeting (Fair Planning)
- Karen Rapiejko is our parking pass manager. If you are planning to spend the night, please make sure you email her
the following information: car make and model, color, plate number and which nights you're sleeping over.
- Sheri O'Brien is doing the Chaperone and Emergency Contacts. Please email her parent and members cell phone numbers and
any pertinent phone numbers that can be used in an emergency. If you are staying overnight at the fair, you are considered
a chaperon, even it's only one night. Please email Sheri which nights you'll be staying over.
- Sandy Gallagher will be our Meal Ticket Manager for this year.
- Janet Roy has volunteered to be the Volunteer manager to assist with making sure we cover all of our volunteer responsibilities
and that people are where they need to be. If you are planning to visit the fair or stay overnight or exhibiting in
statics, livestock or only two horse classes, then you must sign up for a volunteer time slot. It can be anywhere from
two to four hours. Our club usually staffs the back entry gate, the 'in' and 'out' gates of the rings and one meal.
Please let Janet know when you will be at the fair.
- Amy Ohman has volunteered to be our site necessities and maintenance overseer. If you have any items that can be provided
for use on the site please notify Amy. At this time I know that the O'Brien's and Branscomb's have offered carport tents for
use on the site. We still need chairs, tables and any other items. Does anyone have a large white board that could be used
for the weekend??
- Sue and Karen Clifford are putting together a list of member's entries and posters to be posted on the site.
- Site decorations and set-up was discussed this night. We are going to do a lattice arch at the entryway of
the site, and lattice fencing across the front of the site. There will be 4H themed and club specific cutouts on the site.
We will need volunteers to create and paint the cutouts. If you have material we can use, please contact Sue or Melissa.

has volunteered to handle the horse club set up. Paul Bourdon has volunteered to handle the livestock club set up. We
still need someone to set up the craft club decorations. If you're willing to participate in any way, please email Sue
or Melissa.
- Stall name sign information papers were passed out and need to be returned ASAP, or email her with the horses' show name,
barn name, owner's name, rider's name(s) and division(s), and horse's age, height, breed, and color. Please have this
information submitted ASAP so that Cory has time to make the signs. We also need to come up with a way to make the signs water
resistant, any ideas? Anyone have access to a lamination machine?
- Fair rule book was passed out to everyone going to the fair, and the back page needs to be signed and given to Melissa
before the fair
- If you're planning on attending the fair, you must have your forms to Melissa by Saturday, July
25. You cannot add classes at the fair this year, so if you're not sure -- sign up. You can scratch
classes. If you have questions, call Melissa or one of the more experienced 4H-ers, they'll be able to help.
- Melissa made a packing list for everyone who will be going to the fair, and it was passed out to thos members that were
there. If you weren't at the fair, the same list can be found on the "Get Ready For The Fair" page.
June 17th Meeting
- Drill Team A practiced before the meeting.
- Broom polo was enjoyed by all, those who watched and those who played. It was the Drafters vs. the Oddballs and
almost everyone got a chance to play. There are some pictures from the first game on the Purely Pictures page.
- An ice cream sundae party was thrown with ice cream, toppings, and cake.
- Parents who were there signed up to work shifts at Larter's. Sue will be emailing those who didn't sign up to work
at least one hour, as we all have to pitch in to keep the show running smoothly.
- Themes for the various Haunted Trail sections were brainstormed, and some adults were assigned to be section leaders
- Sue handed out show forms for riders at Checkerberry Acres and what division they should be riding in was written
on them.
- Everyone was reminded to get in their Monday Night Work Night at the 4H Fairgrounds in Westford. Every member of
our club has to work at least one night, as it's our duty to help keep the fairgrounds in tip-top shape.
